As a technology organization that provides products and services worldwide, CyberPatient is expected to comply with various privacy and data protection regulations, including GDPR, CCPA, and PIPEDA.

DATA CONTROLLER AND DATA PROCESSOR ROLES 

Some privacy regulators classify organizations based on their role in processing personal data:

  • A Data Controller determines how and why personal data is collected and processed.
  • A Data Processor processes personal data on behalf of a Data Controller.

CyberPatient acts as:

  • A Data Controller when collecting and processing data from website visitors, prospects, and customers.
  • A Data Processor when processing data on behalf of our customers from their end users.

In both roles, we follow a strict privacy framework to ensure the security and confidentiality of your data.

PERSONAL DATA COLLECTION AND USE

  1. Website Service Interaction
    • Contact Requests: When you reach out to us via our forms or email, we collect your name, email address, phone number, and message. This information is used to acknowledge and respond to your requests.
    • Referrals: If you participate in our referral program, we collect your name, email, university, year of medical school, and student number to track referrals and issue rewards.
    • Clinical Club Applications: If you apply to join the CyberPatient Clinical Club, we collect your name, email, university, and year of medical school to evaluate your eligibility.
    • Email Subscriptions: If you subscribe to receive communications, we collect your email to send updates and news relevant to CyberPatient.
    • Meeting Scheduling: When booking a meeting with our team, we collect your name, email address, phone number, job title, company, and appointment details to facilitate coordination and follow-up.
    • Event Registration: For webinars or events hosted or co-hosted by CyberPatient, we collect your name, email, and job title to manage participation. These events may be recorded and published on our website.
  2.  Data Security
    CyberPatient uses appropriate technical and organizational measures to secure your personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. Access to your data is limited to authorized personnel only and governed by confidentiality agreements.

    For clients that are public institutions subject to applicable Canadian privacy legislation (such as *The Local Authority Freedom of Information and Protection of Privacy Act* in Saskatchewan), CyberPatient agrees to comply with all relevant provisions when acting as an Information Management Service Provider (IMSP) or equivalent.This includes:

    • Using personal information only for the purposes it was provided
    • Not disclosing or using the information beyond what is required to deliver services
    • Maintaining strict data protection measures
    • Notifying the institution promptly of any unauthorized access or disclosure
    • Returning or securely destroying personal information upon request or upon contract completion
